About Device Check-ins

Device check-ins are a simple way for us to make sure every student has their correct Chromebook. Here's everything you need to know about how check-ins work.

Why Do We Have Check-ins?

With over 18,000 Chromebooks in Fairfield Public Schools, it's important to keep track of which device belongs to which student. Check-ins help us:

  • Maintain accountability - Know who is responsible for each device
  • Detect swaps - Find out if students accidentally traded Chromebooks
  • Speed up repairs - Know exactly whose device needs fixing
  • Plan replacements - Identify devices that need to be retired
  • Protect students - Ensure no one is blamed for damage they didn't cause

When Do Check-ins Happen?

Scheduled Check-ins

Every student with an assigned Chromebook will see a check-in prompt approximately every 90 days (about once per quarter). This is routine maintenance to ensure records stay accurate.

Triggered Check-ins

Sometimes a check-in is triggered sooner due to:

Trigger Reason
Initial Assignment When you first receive a Chromebook, you'll confirm it's yours
Possible Swap Detected System noticed you might be using someone else's device
Multiple Devices You've been using more than one Chromebook
Post-Repair Your device was returned from repair
Location Change Device is being used at unexpected location

How to Respond to a Check-in

  1. Notice the prompt
    You'll see a small notification icon or popup when a check-in is needed. Click on it to open the check-in form.
  2. Verify the serial number
    The check-in will show a serial number. Look at the sticker on the back of your Chromebook to see if it matches.
  3. Select your response
    Choose the option that matches your situation:
    • "Yes, This Is My Device" - The serial numbers match
    • "No, I Have a Different Device" - You're using a different Chromebook
    • "Not My Device" - This Chromebook isn't assigned to you
  4. Submit and continue
    After submitting, the check-in is complete and you can continue using your device.
Quick Tip Check-ins only take about 10-15 seconds to complete. Responding promptly helps keep our records accurate and prevents reminder messages.

What Happens If I Don't Respond?

If you don't respond to a check-in:

  1. Day 3: First reminder appears
  2. Day 7: Second reminder appears
  3. Day 14: Final reminder appears
  4. After 14 days: Your case is escalated for follow-up
Important Ignoring check-ins can lead to your account being flagged for IT follow-up. It's always better to respond, even if you're not sure you have the right device.

Finding Your Serial Number

The serial number is the key to identifying your specific Chromebook. Here's where to find it:

  • Back of device: Look for a white sticker with a barcode
  • The serial number format: Usually looks like 5CD425J71C
  • On-screen: You can also find it in Chrome settings (search "serial" in settings)

Privacy Information

The device tracking system is designed to respect student privacy while maintaining device accountability:

  • We track which device is assigned to which student
  • We log when you sign in to verify device usage
  • We record general location (school vs. home)
  • We do NOT track browsing history
  • We do NOT record screen content
  • We do NOT access personal files
