LMS Staff Guide

This guide covers how to use the Device Portal as a Library Media Specialist, including managing device assignments, viewing reports, and handling common issues.

Accessing the Portal

  1. Log in to the Device Portal
    Go to device.fairfieldschools.org and log in with your FPS credentials.
  2. Navigate your dashboard
    Your dashboard shows devices at your location, pending repairs, and recent activity.
  3. Use the main menu
    Access Students, Devices, Repairs, and Reports from the navigation bar.

Managing Device Assignments

Viewing Current Assignments

To see which devices are assigned to which students:

  1. Go to Students in the main menu
  2. Search for a student by name or ID
  3. Click on their name to see device history
Quick Device Lookup You can also search by device serial number in the Devices section to see who has a specific Chromebook assigned.

Understanding Assignment Types

Type Description
Student 1:1 device assigned to a specific student
Cart Shared device in a classroom cart
Loaner Temporary device while student's main device is being repaired
Staff Device assigned to a staff member

The Check-in System

How Check-ins Work

The device tracking system automatically prompts students to confirm their device assignment. As LMS staff, you can monitor check-in responses and follow up when needed.

Check-in Statuses

Status Meaning Action Needed
Confirmed Student confirmed device is theirs None
Pending Awaiting student response Follow up if overdue
Wrong Device Student reports having different device Investigate swap
Denied Student says not their device Review assignment
Escalated No response after reminders Contact student directly

Handling Device Swaps

What is a Device Swap? A swap occurs when two students accidentally (or intentionally) trade Chromebooks. The system can detect this through login pattern analysis.

When a swap is detected:

  1. Review the alert
    Check the swap alert details to see which students and devices are involved.
  2. Contact the students
    Have both students bring their devices to the Library/Media Center.
  3. Verify serial numbers
    Check the stickers on each device to confirm the swap.
  4. Swap devices back
    Have students exchange Chromebooks to restore correct assignments.
  5. Resolve the alert
    Mark the swap alert as resolved in the system.

Device Repairs

Submitting a Repair

  1. Go to Repairs > New Repair
  2. Enter the device serial number or scan the barcode
  3. Select the student from the lookup
  4. Document the damage with photos and description
  5. Submit for technician review

Post-Repair Process

When a device is repaired and returned, the system will prompt the original student to confirm they received their device back. If the device is reassigned to a different student, approval may be required.

  • Regular Monitoring: Check your dashboard daily for alerts and pending items
  • Quick Response: Address swap alerts and overdue check-ins promptly
  • Student Education: Help students understand the importance of device accountability
  • Documentation: Add notes to records when handling issues
  • Escalation: Contact IT for complex issues or system problems
